The fastest way to learn the format is to read releases that work. Below are six worked examples covering the announcement types businesses actually publish, each written out in full, with a note on what makes it work. All companies and figures are fictional.
If you want the underlying structure and a blank template first, start with our guide to writing a press release.
1. Funding announcement
FOR IMMEDIATE RELEASE Kettle & Co Raises $2.4M to Expand Its Refill Network BRISTOL, United Kingdom — 12 February 2026 — Kettle & Co, a zero-packaging household goods retailer, has raised $2.4 million in seed funding led by Northgate Ventures. The company will use the investment to open 30 refill points across the south of England by mid-2027. Kettle & Co currently operates 11 refill points inside existing grocery stores and reported $1.8 million in revenue for 2025. The round also included participation from angel investors and existing shareholders. Northgate partner Ines Duarte joins the board. “The unit economics only work above about 25 sites, so we have been running below the line we need,” said Tom Whitfield, co-founder of Kettle & Co. “This gets us past it in eighteen months instead of four years.” About Kettle & Co Kettle & Co is a zero-packaging household goods retailer operating refill points inside partner grocery stores. Founded in 2022 and based in Bristol, the company employs 19 people. Media Contact Aisha Rahman Communications Lead aisha.rahman@example.com +44 117 496 0138 ###
Why it works: the amount, the lead investor and the use of funds are all in the first paragraph. The quote admits a constraint rather than expressing excitement, which makes it quotable.
2. Product launch
FOR IMMEDIATE RELEASE Arbor Software Launches Offline Mode for Field Engineers Feature responds to users working in locations without mobile coverage AUCKLAND, New Zealand — 3 April 2026 — Arbor Software today released an offline mode for its field service platform, allowing engineers to complete job records without a network connection and sync when coverage returns. The feature was built after Arbor found that 31% of its users regularly work in areas with no reliable mobile signal, based on an internal survey of 420 customers conducted in late 2025. Offline mode is included in all paid plans at no additional cost and is available from today on iOS and Android. “Engineers were photographing job sheets and retyping them in the van,” said Marcus Feld, Head of Product at Arbor Software. “We were adding features on top of a workflow that was broken at the first step.” About Arbor Software Arbor Software builds field service management tools for trades and maintenance businesses. Founded in 2019 and headquartered in Auckland, the company serves approximately 1,100 businesses across New Zealand and Australia. Why it works: it explains why the feature exists using a number from the company’s own research, and states pricing and availability plainly.
3. Senior appointment
FOR IMMEDIATE RELEASE Halden Group Appoints Rachel Osborne as Chief Operating Officer TORONTO, Canada — 20 January 2026 — Halden Group has appointed Rachel Osborne as Chief Operating Officer, effective 3 February. She joins from Brightline Manufacturing, where she led operations across four plants. Osborne will oversee Halden’s manufacturing and supply chain functions as the company consolidates its three Ontario facilities into two during 2026. She reports to Chief Executive David Chen and joins the executive committee. “The consolidation is the hardest thing this company will do this decade, and I have done it twice before,” said Rachel Osborne. “What I learned is that you move people before you move machines.” About Halden Group Halden Group manufactures industrial fastening components for the automotive and aerospace sectors. Established in 1994, the company operates three facilities in Ontario and employs 610 people. Media Contact Priya Venkatesan Head of Corporate Affairs priya.venkatesan@example.com +1 416 496 0155 ###
Why it works: it says what the appointee will actually do, not just that the company is pleased. The start date and reporting line are specific.
4. Partnership
FOR IMMEDIATE RELEASE Verano Foods Partners With Coastal Rail to Cut Delivery Emissions Agreement moves 60% of the company’s long-haul freight from road to rail VALENCIA, Spain — 8 May 2026 — Verano Foods has signed a three-year agreement with Coastal Rail to move approximately 60% of its long-haul freight from road to rail, beginning July 2026. The shift covers routes between Verano’s Valencia processing site and distribution centres in Madrid, Bilbao and Lisbon. The company estimates the change will reduce freight emissions on those routes by around 4,200 tonnes of CO2 equivalent annually, and expects transit times to increase by an average of six hours per shipment. “Rail is slower and we had to redesign our ordering windows around that,” said Carmen Lopez, Supply Chain Director at Verano Foods. “It only worked once we accepted the schedule change rather than trying to engineer around it.” About Verano Foods Verano Foods processes and distributes preserved vegetables and pulses across southern Europe. Founded in 1987 and headquartered in Valencia, the company operates two processing sites and employs 430 people. Why it works: it names the trade-off. Stating that transit times increase makes the emissions figure more credible, not less.
5. Award or recognition
FOR IMMEDIATE RELEASE Fairweather Dental Named Practice of the Year at the 2026 Regional Care Awards LEEDS, United Kingdom — 17 June 2026 — Fairweather Dental has been named Practice of the Year at the 2026 Regional Care Awards, held in Manchester on 14 June. The category assessed patient outcomes, waiting times and staff retention across 90 entrants. The practice reduced average new-patient waiting time from 21 days to 9 days during 2025 by restructuring appointment blocks, and reported staff turnover of 4% against a sector average the awards organisers put at 17%. “We stopped booking check-ups and treatments into the same slots, which sounds trivial and took a year to implement properly,” said Dr Susan Achebe, Principal Dentist at Fairweather Dental. About Fairweather Dental Fairweather Dental is an independent dental practice in Leeds providing general and cosmetic dentistry. Established in 2009, the practice has 6,400 registered patients and employs 22 staff. Media Contact Owen Bradley Practice Manager owen.bradley@example.com +44 113 496 0190 ###
Why it works: awards releases are usually empty. This one explains what the practice did to win, with before-and-after numbers.
6. Expansion or new location
FOR IMMEDIATE RELEASE Northline Coffee Opens First US Roastery in Portland PORTLAND, Oregon — 25 September 2026 — Northline Coffee has opened its first United States roastery in Portland, its first site outside Canada. The 12,000 square foot facility will supply the company’s 14 US wholesale accounts and adds 18 jobs. Northline has shipped to US customers from its Vancouver roastery since 2023, but rising cross-border freight costs and a two-day transit delay made domestic roasting viable at current volumes. The company expects the Portland site to roast approximately 40 tonnes in its first year. “We were burning three days of shelf life in transit,” said Jonah Reyes, Operations Director at Northline Coffee. “Our wholesale accounts noticed before we did.” About Northline Coffee Northline Coffee is a specialty coffee roaster supplying wholesale and retail customers in Canada and the United States. Founded in 2016 and headquartered in Vancouver, the company operates two roasteries and employs 57 people. Media Contact Marta Kowalski Brand Manager marta.kowalski@example.com +1 503 496 0166 ###
Why it works: it gives the commercial reason for the expansion rather than framing it as growth for its own sake.
What all six have in common
- The news is in the headline and the first paragraph. Nothing is held back for effect.
- Every claim carries a number — square footage, tonnes, percentages, headcount, dates.
- The quotes say something. Each one contains an admission, a constraint or a decision. None of them are excited.
- No superlatives. Not one release calls the company leading, innovative or world-class.
- Length is 250 to 400 words. Short enough that an editor can read the whole thing.
Frequently asked questions
Can I copy these press release examples?
Use them as structural models rather than copying the wording. All the companies and figures above are fictional, so the sentences will not fit your situation. Copy the shape: headline, dateline, lead, detail with numbers, one quote, boilerplate, contact.
How long should each section be?
Headline one line, lead paragraph two or three sentences, two body paragraphs, one quote of two sentences, boilerplate three or four sentences. That comes to roughly 300 to 500 words, which is the range editors expect.
What if my announcement does not fit any of these types?
The structure is the same regardless of announcement type. If none of the six fit, the more useful question is usually whether the announcement is news at all. A change that would not interest anyone outside your company generally is not.
