The fastest way to learn the format is to read releases that work. Below are six worked examples covering the announcement types businesses actually publish, each written out in full, with a note on what makes it work. All companies and figures are fictional.

change will reduce freight emissions on those routes by around 4,200 tonnes
of CO2 equivalent annually, and expects transit times to increase by an
average of six hours per shipment.

“Rail is slower and we had to redesign our ordering windows around
that,” said Carmen Lopez, Supply Chain Director at Verano Foods.
“It only worked once we accepted the schedule change rather than trying
to engineer around it.”

6. Expansion or new location

Northline Coffee Opens First US Roastery in Portland

Northline has shipped to US customers from its Vancouver roastery since
2023, but rising cross-border freight costs and a two-day transit delay made
domestic roasting viable at current volumes. The company expects the Portland
site to roast approximately 40 tonnes in its first year.

Why it works: it gives the commercial reason for the expansion rather than framing it as growth for its own sake.

What all six have in common

  • The news is in the headline and the first paragraph. Nothing is held back for effect.
  • Every claim carries a number — square footage, tonnes, percentages, headcount, dates.
  • The quotes say something. Each one contains an admission, a constraint or a decision. None of them are excited.
  • No superlatives. Not one release calls the company leading, innovative or world-class.
  • Length is 250 to 400 words. Short enough that an editor can read the whole thing.

Frequently asked questions

Can I copy these press release examples?

Use them as structural models rather than copying the wording. All the companies and figures above are fictional, so the sentences will not fit your situation. Copy the shape: headline, dateline, lead, detail with numbers, one quote, boilerplate, contact.

How long should each section be?

Headline one line, lead paragraph two or three sentences, two body paragraphs, one quote of two sentences, boilerplate three or four sentences. That comes to roughly 300 to 500 words, which is the range editors expect.

What if my announcement does not fit any of these types?

The structure is the same regardless of announcement type. If none of the six fit, the more useful question is usually whether the announcement is news at all. A change that would not interest anyone outside your company generally is not.
